1. Booking & Payment

1.1. A 50% non-refundable deposit is required to secure your booking date.
1.2. Dates are reserved only upon receipt of the deposit and signed confirmation.
1.3. The remaining 50% balance is due on or before the day of the shoot/event, unless otherwise agreed in writing.
1.4. Payments can be made via EFT, cash, or other approved methods.
1.5. Late payments may result in delayed delivery of final images or videos.


2. Cancellations & Rescheduling

2.1. Cancellations must be submitted in writing (email or WhatsApp).
2.2. The 50% deposit is non-refundable under all circumstances.
2.3. If you need to reschedule, Calus Media will do its best to accommodate the new date, subject to availability.
2.4. If rescheduling is not possible, the deposit will be forfeited.
2.5. Calus Media reserves the right to reschedule due to unforeseen circumstances (e.g. illness, emergencies, or equipment failure). In such cases, a full refund or reshoot will be offered.


3. Coverage & Service

3.1. Calus Media provides professional photography and videography services for weddings, funerals, studio sessions, birthdays, events, and other occasions.
3.2. Clients must ensure that key individuals and moments are available and cooperative for capture.
3.3. For large events (e.g., weddings or funerals), a representative from the client’s side should assist the team in identifying important guests and moments.
3.4. Calus Media maintains full creative discretion regarding angles, lighting, composition, and editing style.


4. Image & Video Delivery

4.1. Delivery timelines (standard):
- Studio Photoshoots: 2-3 working days
- Events & Birthdays: 7–10 working days
- Funerals: 5-10 working days
- Weddings: 10-15 working days
4.2. Express delivery can be arranged at an additional cost.
4.3. Delivery is made via an online platform (Pixieset, Google Drive, or USB), depending on the package.
4.4. Clients will receive only the final edited, high-resolution images and/or final video exports.
4.5. RAW or unedited files will not be shared or released to clients under any circumstance unless purchased separately at an agreed fee.
4.6. Ownership of RAW content remains the exclusive property of Calus Media.


5. Copyright & Usage

5.1. Calus Media retains full copyright ownership of all images and videos produced.
5.2. Clients are granted a personal-use license to use content for private, non-commercial purposes.
5.3. Images or videos may not be altered, sold, or used commercially without written consent.
5.4. Calus Media reserves the right to use selected content for marketing, portfolio, and promotional purposes, unless the client requests otherwise in writing before the shoot.


6. Client Cooperation

6.1. The client agrees to cooperate fully and ensure punctuality to maximize coverage.
6.2. Calus Media is not responsible for missed moments due to client delays, restrictions, or venue limitations.
6.3. Clients must obtain all necessary permissions for photography and videography at the venue (e.g. churches, funeral homes, halls, or estates).


7. Equipment & Liability

7.1. Calus Media uses professional-grade photography and videography equipment.
7.2. In the unlikely event of equipment failure, theft, or data loss, liability shall not exceed the value of payments received.
7.3. Calus Media shall not be held liable for indirect, incidental, or consequential damages.


8. Image Editing & Retouching

8.1. Standard image editing (color correction, cropping, exposure, and tone adjustments) is included in all packages.
8.2. Advanced retouching or creative manipulations (e.g. background changes, object removal, body adjustments) are subject to additional charges.
8.3. Editing style is consistent with Calus Media’s brand standard and may not be altered by third parties.


9. Post-Production (Video Editing & Revisions)

9.1. Scope of Work.
All video projects are quoted based on the agreed duration and creative brief. For example, if a 3-minute video is quoted, the final deliverable shall not exceed this length unless otherwise approved in writing. Any increase in duration, storyline, or overall creative direction will be treated as a scope change and may result in additional charges.

9.2. Revisions Included.
Each quoted project includes two (2) rounds of revisions following delivery of the first draft.
- Revisions refer to minor corrections such as text, timing, or small visual adjustments.
- Major changes that alter the concept, add new footage, extend the duration, or require re-editing beyond the agreed brief will be quoted separately.

9.3. Music Selection & Audio Changes
Clients are required to provide their preferred song or background music before editing begins. This ensures that the pacing, transitions, and visual storytelling are aligned with the chosen audio.
- Changing the music after the first edit has been delivered is considered a major change, as it requires re-editing the entire video to match the new track.
- Music changes after the first edit will therefore incur an additional re-editing fee based on the complexity of the project.
- If no music is provided upfront, Calus Media will select a suitable, licensed track at its own discretion.

9.4. Additional Revisions & Extended Video Length
- Additional revision rounds beyond the included two (2) will be billed at R750.00 per round.
- Extensions to the final video length beyond the agreed scope will be billed at R1,500.00 per additional edited minute.
- All additional costs will be communicated and approved before work continues.

9.5. Feedback Submission
Clients are required to submit all feedback within five (5) working days of receiving each draft. To ensure efficient workflow, feedback must be consolidated and submitted in one document or email per revision round. Fragmented or delayed feedback may impact delivery timelines.
The project will be deemed complete once the final version has been approved by the client or after the included revision rounds have been completed — whichever occurs first. Any requests thereafter will be considered a new paid service.

9.6. Approval & Project Closure

Project files and materials are securely archived for 30 days after final delivery. Any revisions or retrieval requests after this period may incur a reactivation or re-editing fee.

9.8. No RAW Files
All photography and videography packages exclude the delivery of RAW files unless explicitly purchased by the client.
RAW files remain the sole property of Calus Media and will not be shared or distributed. Clients may, however, request to purchase the RAW content at an additional cost determined by the size and nature of the project. Sharing RAW files compromises the creative integrity and editing standards set by Calus Media.


10. Storage & Archiving

10.1. Calus Media will store final edited images and videos for up to 6 months after delivery.
10.2. After this period, files may be permanently deleted.
10.3. Clients are responsible for backing up their content upon receipt.


11. Force Majeure

Calus Media shall not be held responsible for delays or cancellations due to events beyond its control, including but not limited to accidents, illness, pandemics, fire, flood, natural disasters, or government restrictions.


12. Acceptance of Terms

By paying the deposit or confirming your booking, you acknowledge that you have read, understood, and agreed to these Terms and Conditions of Service by Calus Media.
